Issue a self-invoice for a purchase

This option appears for business administrators when self-invoicing is enabled for the application. Complete document numbering/settings first. Use it for a purchase that requires buyer accounting for VAT, after checking the legal basis and deductible percentage with your accountant. It records output VAT separately from input deduction and does not create sales revenue or customer debt.

Have the supplier document, date, amount, classification and supporting evidence ready. An existing purchase must be approved, unreported, unexported, and have no VAT or self-invoice already recorded. Its reporting month must match the self-invoice. Alternatively, enter a new purchase.

  1. Open Create invoice / receipt, then Self-invoices in the document selector.
  2. Choose Create self-invoice. Select an existing purchase or Enter a new purchase and enter its supplier, source reference, date, classification, currency, amount and exchange rate.
  3. Choose the basis and input deduction percentage. For Israel Invoices reverse charge, enter the supplier’s existing special allocation.
  4. Check output VAT, deductible input VAT and net VAT, then enter the evidence reference and choose Issue self-invoice.
  5. Wait for completion. Open the issued document from the list to view/download its PDF.

Choose the credit action beside an issued self-invoice to reverse all or part of its remaining base. The credit uses the original VAT and deduction; the final credit includes any rounding remainder. A later-period credit appears with both negative VAT sides in that period.

If issuance fails, use Retry issuance on the saved attempt. Do not create another purchase to retry. Abandon issuance attempt releases a draft only before a document number is reserved. A numbered attempt must be recovered through retry. Legacy issued documents can be linked to an eligible purchase using Link legacy document to purchase only when their immutable amounts match. Already filed/exported or inconsistent historical records require a documented accounting correction; this action does not rewrite them.

The VAT report includes both sides. When marking a VAT period reported, self-invoice purchases are included with their issued output VAT regardless of checkbox selection; they cannot be deferred separately. Unreporting restores the paired reporting state without deleting either leg. Ordinary income and open-customer-debt totals exclude self-invoices. PCN874 uses matching M/C references and the inherited allocation; zero deductible VAT produces no C entry. If a positive deduction rounds to zero in whole-shekel fields, generation stops with a review error; resolve the reporting treatment with your accountant. The optional negative-total adjustment adds technical M/C entries while preserving VAT payable. Inspect those entries with your accountant; it does not repair negative exempt turnover.

In Hashavshevet settings, configure the dedicated self-invoice supplier account and the income-cancellation account. Fill in both; the settings are not saved with only one of them. The supplier card must carry your own VAT number; the cancellation account must be classified as self-invoice income in Hashavshevet. These settings consolidate payables into that supplier card. Export includes the complete three-journal operation even when selecting one side. DOC/PRM preserves allocation numbers; legacy DAT does not.

For an unissued tax invoice refused with code 460/461, Issue a reverse-charge replacement records buyer consent, requests the special allocation, and issues a zero-VAT replacement. The refused attempt stays in the audit trail. This transition is unavailable for proformas and already issued invoices.

If the authority outcome is uncertain, open Self-invoices → Reconcile authority response. Verify the exact replacement in the government portal or with authority support and retain evidence. Enter its existing special allocation. Leave it empty only when the authority confirms no allocation was issued, authorizing a retry. Never request an unrelated ordinary allocation to resolve this situation.
