Ask the AI assistant
Your business must have access to SmartBill and an available AI provider. SmartBill administrators manage provider keys; AI settings shows availability. Choose an available provider/model at the top of chat. Messages and relevant account records are processed by that provider; Local model uses SmartBill’s server.
AI access is off by default for each business. Contact SmartBill support to enable it. All members share the business’s request allowance. Each chat message, voice transcription, or expense analysis uses one credit, so transcribing and then sending a voice message uses two. Credits refill gradually over the configured period: 24 hours, 7 days, or 30 days, up to the allowance. Accepted attempts count even if they fail or are cancelled. If the allowance is exhausted, wait for credits to refill; switching users does not reset it. Existing conversations remain available. Approving a proposal uses no extra credit, but AI access must still be enabled.
Complex questions can take a few minutes, especially while a local model loads. Keep chat open while waiting for the response.
- Open Settings → AI settings and choose AI Assistant.
- Type a question, such as “What was my income excluding VAT in August?” Include the period you want.
- To use voice, choose the microphone button, allow microphone access and record a short message. Check the transcription in the input before sending.
- For an invoice, provide the customer, description, amount and whether it includes VAT. For example: “Prepare an invoice for Example Client for consulting, ₪1,000 including VAT.”
- Answer any clarification questions. If the customer is missing, choose Review proposal and approve the customer separately. The assistant then continues with the invoice.
- Choose Review proposal for the invoice, check the PDF, customer, date and VAT totals, then choose Approve and create or Reject. Wait for Completed and find the invoice in Documents.
- Open Settings → AI settings and tap AI Assistant.
- Type your question or tap the microphone, allow access and record a short message. Review the transcription and send it.
- When requesting an invoice, include the customer, service description, amount and VAT treatment.
- Review and approve a missing customer first. The assistant continues automatically; tap Review proposal for the invoice.
- Inspect the PDF and totals in the preview. Tap Approve and create only when the details are correct, and wait for Completed. Tap Reject to stop.
- Use chat history to return to your own conversations and check action status.
Typing “yes” does not create anything. Client creation and invoice creation each need their own button approval. Invoice proposals currently support single-line tax invoices in shekels for VAT-registered businesses. They do not email the invoice or collect payment. Use the normal document creation flow for other document types or exempt businesses.
The assistant can look up customers, vendors, catalog items, income documents and expenses, inspect document details, check imported bank/card records and cash-flow forecasts, and use income, expense, profit/loss and VAT reports. Bank information reflects the last import, not a live bank connection. Stored tax projections are estimates: check their date and confidence. They are not final tax bills or filed returns. A page of records may be partial; report totals use the full report period.
Proposals expire after an hour. If details change or the preview fails, ask for a new proposal. If creation loses its connection or reports a failure, reopen the chat and check Documents before asking for another invoice. Repeated approval of the same proposal will not create it again. Voice messages must be under two minutes and 10 MB. If recording or transcription fails, shorten the recording, check microphone permission, or type the message.
