Manage expense types

An expense type sets how much of an expense is recognized for income tax and VAT, and links it to an accounting code. The list lives under Expenses → Expense types.

Choose the screen you use SmartBill on:

  1. Search by code, description, or accounting key. Filter by Linked to accounting, and click a column header to sort, for example by VAT or recognized percent.
  2. Click a row to open the expense type. The page shows its details, its recurring rule, and the expenses of that type with their own search, status, period, and sort controls.
  3. Click Edit expense type to open the form at the side of the screen. Save and Cancel sit at the bottom of the sheet. Closing or Cancel with unsaved changes asks for confirmation first. The menu next to it opens Expenses with this classification or deletes a type that has no expenses.
  4. To create one, click Add expense type. Add a new expense type opens as a side sheet. You can also create one while reviewing an expense: type a missing name in Expense type and choose Create expense type “…”. To edit an existing type from that same field, click the edit icon on its row (tooltip Edit expense type). Save updates the type and selects it on the expense; closing or Cancel leaves the previous selection. Excel import and export live under Import/Export.
  5. To combine duplicates, click Merge classifications, tick at least two types, click Merge, and choose the type that stays. All expenses of the other types move to it.

On the expense type page, Edit Rules defines a recurring expense: frequency, start date, and an amount range. Generated periods appear as chips; tapping a chip opens that period’s expenses, and the eye icon ignores or restores a period.

After an Excel import, a window shows the upload progress and then how many expense types were added and updated. Rows that were not saved are listed with the reason; fix them in the file and import it again.
