View reports and choose a period

Choose the business and period before reading a report. Different reports can show different figures depending on document types and filters.

Choose the screen you use for SmartBill:

  1. Open Reports in the side menu.
  2. Choose the report you need, such as income, expenses, or profit and loss. In profit and loss, other incomes such as grants and interest appear in their own section after income and count toward profit.
  3. Choose the period and check the available filters.
  4. Use the download or export option if that report provides one.

For PCN874, wait for generation to finish: a progress indicator appears and the generation button is disabled while the report is being prepared. A successful report downloads as a text file (.txt). If a list of errors appears, correct the indicated details and generate the report again. If an error message appears without a file, check the message and retry after resolving the problem.

If a figure looks wrong, check the period, business, and documents behind it. Available reports depend on the business type and plugins. This guide explains using the app; ask your accountant about reporting decisions.

Download a Unified Structure Report

Link to section: Download a Unified Structure Report
  1. Under Reports, open Unified Structure Report.
  2. Choose Current year, Previous year, or Custom date range. Check the displayed dates; the final selected day is included.
  3. Select Generate and wait for the summary. The button is disabled while the report is being prepared.
  4. Check the business, dates, record counts, and included expense count, then select Download report to save OPENFRMT.zip. On mobile, follow your device’s file-saving prompt; on a computer, check the browser’s downloads.

The report includes issued documents and approved/reported expenses. Expenses belong to the period when their document date or reporting date is in the selected range. Self-invoices include their VAT and linked purchases without adding sales revenue. Drafts and unapproved expenses are excluded. The catalog has no inventory balances, so no inventory rows are generated.

Generating or downloading this report does not mark expenses as reported and does not submit anything to the Tax Authority. You can download the prepared ZIP again without generating it again. Changing the period or business clears that result.

If you cancel the mobile save dialog, no file is saved. Select Download report again without regenerating. A large report may take several minutes; stay on the page until it finishes.

If generation fails, read the error, correct missing business/client details or expense classifications, and try again. No partial file is downloaded. For unsupported characters or a report exceeding the processing limit, contact support with the displayed error, including the record ID and field name when shown.

PCN874 and Unified Structure Report validate documents before generating a file. For imported history, a missing number (and, for PCN874, a missing customer) produces an error instead of silently dropping the document.

  1. Read the error and use Go to invoice or Go to expense, when shown, to open the affected record. Correct the missing details, return to the report, and generate it again.
  2. If every displayed error supports skipping, the page offers Generate anyway (skip invalid documents). Select its checkbox only after reviewing the affected records, then select the button with the same name.
  3. Check the resulting file. PCN874 excludes the skipped documents and their amounts. Unified Structure Report skips unnumbered imported documents from its document details, but keeps their bookkeeping amounts.

These steps apply on desktop and mobile; on mobile, scroll below the error to reach the checkbox and retry button. Skipping applies only to that explicit retry. The normal generation button validates again, and changing the period or business clears the previous consent. Network failures, missing expense classifications, and other errors that cannot be skipped must be corrected before generation can succeed.

Self-invoices contribute output and deductible input VAT without sales revenue. Their linked purchases are included automatically when marking the period as reported; they cannot be deferred separately from the output VAT. Canceling the reporting mark updates both records. Read the self-invoice reporting and export steps, including the optional PCN negative-total adjustment and Hashavshevet accounts.

PCN classifications and allocation numbers

Link to section: PCN classifications and allocation numbers

For an expense, open PCN874 report details and choose one classification: regular input (T), petty cash (K), import entry (R), Palestinian Authority supplier (P), other document by law (H), or self-invoice input (C). For an import, enter the customs entry number; if omitted, the expense document number is used. Linked self-invoices are classified automatically by their dedicated workflow.

When entering or editing a manual income, Automatic uses the customer and document details. You can select a regular sale (S), unidentified customer (L), sales summary (L), export (Y), or Palestinian Authority customer (I). Enter the invoice count and summary end date for a sales summary. Only include transactions eligible for aggregation; a summary is exported as L, not Z. Exports must have zero VAT; enter the customs reference for exported goods, or leave it blank for services without an entry. Keep individually issued invoices separate from sales summaries.

If export reports a missing or invalid allocation number:

  1. Open the linked expense in the error list, correct the allocation number, and save.
  2. Return to the report and choose Create report again. Short allocations contain 9 digits; full allocations contain 23 digits. The file uses the final 9 digits; dashes and spaces added by scanning are ignored, and longer numbers are accepted.
  3. If any error is a missing or short numeric expense allocation, you may select Export anyway with zero padding?, then Export with zero padding. This adds leading zeros (or nine zeros for a missing number) only to that download. It does not verify an allocation or change the saved expense. The Tax Authority may reject the report or deduction. Other errors, such as values containing letters, are shown again after the padded export and must be corrected.

The same controls are available on desktop and mobile; scroll to the PCN section in the document editor. The app checks whether a regular expense requires an allocation using its invoice date and amount before the full VAT, including when only part of the VAT is deductible.
